Pre-Existing Customers are sales entered into Frazer when switching from another dealer management software or hand-written method to the Frazer software program. Because the prior method of entering sales may have used a different method of calculating interest, etc., the Pre-Existing Customer feature is the best way to transfer each sale accurately so that the Frazer program may continue the calculations for each account after entry.
**Frazer does not have an import feature (such as importing an excel file) for sales completed in other programs or by other methods.**
To begin entering Pre-Existing Customers go to Sales >> 7 - Add Pre-Existing Customers.
The first tab is Vehicle & Customer information. Be sure the enter the Purchase Date and include the Purchase Cost and Other Costs (repairs, etc.) as well.
**It is recommended that a Location code (located below the stock number field) be entered for each vehicle entered as part of a pre-existing account. Reports may then be generated if necessary that will indicate if an account had been entered through this method.**
Enter the Sale Date and the customer's information as it would appear on their paperwork. The Sale Date is the date of the sale to the customer who purchased the vehicle.
The second tab is Pricing and Payment information. All of the information entered here is from the original sale - the price of the vehicle, the taxes assessed, what was allowed for the trade-in (if applicable), any service contracts or other fees, down payment, pick up note, and finance charge . The terms of the payment schedule must also be entered as well as the customer's current contract and fees balance.
If the sale is Simple Interest, the principal balance, date of last payment and amount received in interest MUST be entered in order for Frazer to properly calculate the customer's next due date and amount owed.
Once the necessary information is completed, click on . To see the resulting information, go to , highlight the customer and select either by double-clicking or clicking on .
To see the effect a pre-existing customer has on the General Ledger, click on .
Frazer automatically posts a debit to GL 1140 - Accounts Receivables and then a credit to GL 3599 - Pre-Existing Sales.
To correct information after a pre-existing customer has been entered (an incorrect balance, sale date, etc.), click on and then then . The pre-existing customer screen will open directly so that the original information may then be edited.
